Minutes of St Martin of Tours Vestry
Meeting called to order at 11:10 am Sunday, Dec. 13, 2009
Attendees: Fr. Phil Chapman, Steve Mincer, Beth Mincer, Marcia Ghali, Cathie Hughes, Deb Maruca Guests: Mike Roe, Brittany Hanson, Caldwell Manners, Ann Chambers, Kim Roberts
Minutes: Approved as written.
Treasurer's Report:Received $13,500 from Alleluia Fund. Beth recommended an audit or compilation report. Beth clarified that we have restricted and unrestricted funds.
Deacon Kim moved that Todd Illig be paid $100 for work he has done and will do for the church. Cthie Hughes seconded. Motion carried.
Priest's Report: Fr. Chapman presented a signed Letter of Agreement for a one year term at St Martin's. The Vestry and congregation are grateful and want to assist Fr. Phil in any way.
Senior Warden's Report: Steve has completed several items from the December "To-Do List". Work that still needs to be done: replace light in sanctuary. Add a doorbell to outside doors.
Junior Warden's Report: No report.
Teen Parent Program: Deacon Kim reported that the Teen Parent party on Dec. 12 went very well.
J2A: Beth and Cathie reported that the youth will go caroling and have a New Year's lock-in.
New Business: Christmas Eve service will be held at 5:30 pm. Training will be held in the new year for acolytes, Eucharistic Ministers, Altar Guild and Lectors. St Martins has a Facebook page thanks to Marcia Ghali. "Pasisng the Peace: was discussed. Fr. Phil will write an article about why we do it.
Vestry membership was discussed. Steve Mincer's term as Sr. Warden ends this year. We need additional vestry members, as well.
The Annual Meeting will be held on Sunday, January 10, 2010.
The meeting was adjourned at 11:30.

Meeting called to order by Steve Mincer, Sr. Warden at 7:00 pm on November, 1, 2009 at the Home of Deacon Kim Roberts
Attendees: Steve Mincer, Beth Mincer, Deb Maruca, Marica Ghali, Wes Agar, Ann Chambers, Kim Roberts
Fr. Ron's Retirememnt party: Open House to be held on Sunday, Nov. 15th from 4 pm-6 pm at the church. Beth will provide food. Kim will obtain gift certificate from Soul Desires. Clean up date: Nov 14th. Postcards and flyers: Ann Chambers. Mailings and announcements: Kim Roberts.
Organization: Readers, Altar Guild, acolytes, and flowers will be organized so one person is not over-taxed. Discussed trainings, regular vestry meetings, time and talent survey. Kim will make sign up sheets and keep an official church calendar. Action Items: Calendar for readers, acolytes, coffee hour-Kim Roberts. Page numbers to be added to bulletins. Continue to clean building-ongoing.
Building Maintenance: Lighting, soffits need repair, talk to local trade scholls, stairs to basement and landing need repair. A wireless doorbell is needed. Light in bell tower should be repaired soon. Steve Mincer will look at getting estimates for doorbell, soffits and lighting. It was decided to remove moldy curtains from cloumbarium. Kim will talk to Todd Illig about moving brass nameplates to the columbarium niches. Ann, Kim and Marty Whitmer will begin cleaning of sacristy.
Financials: A discussion was held RE: memorail funds, restricted funds and lack of funds. Trinity Episcopal Cathedral Women will donate $1000 in 2010 for Urban Mission. Kim will send a thank you.
Worship and Traditions: No plans for Christmas Eve, Ash Wednesday, Easter, Maundy Thursday. We get flowers from Taylors Florist. A discussion was held about inviting guest preachers such as Briattany Hanson, Cladwell Manners, Marcia Ghali, Steve Sinclair.
Community: A discussion was held about teen parent prgogram, community events & coffee hours. Community needs should be identified.
Vestry meetings: The vestry agreed to establish the second Sunday of the month at 10:30 am for vestry meetings.
Marcia moved to adjourn, Beth seconded. Motion carried.

Vestry / Congregation Meeting
Sunday, September 13. Following the Liturgy, at our Second Table the Vestry and Congregation met to address the following matters:
1) Letter from Deacon Kim and the acceptance of her as Parish Leader at St. Martin’s
It was moved and seconded that Deacon Kim’s presence with St. Martin’s during this transitional period, as defined in her letter of and the Parish Leadership attachment be accepted. Consent was unanimous.
2) Formal adoption of the Strategic Plan as presently developed (yet to be prepared is the Parish Profile). The full text of the Strategic Plan, Vision, Mission, and Core Values, and the Action Plan and Goals for 2009, can be viewed at the Mission and Goals page of this web site. http://www.stmartins-omaha.com/news/our-mission-and-goal.aspx
It was moved and seconded that the Strategic Plan as reviewed, and commented upon by email earlier in the week by the Vestry be formally approved. Approval was unanimous. Yet to be prepared is the Parish Profile.
3) Addition of new members to the Vestry
Fr. Ron had previously visited with Marcia Ghali and Deborah Maruca as to their availability and willingness to serve on the Vestry should the Vestry approve. It was moved and seconded that Marcia Ghali and Deborah Maruca be nominated and elected. The vote was unanimous that they be members of the Vestry of St. Martins.4) Grateful acceptance of the news from Canon Judi Yeates that the Alleluia Grant for the amount of $13,500 was approved by first the Alleluia Grant Committee, and then the Executive Council of the Diocese. The grant monies will be used to addressed operating costs through Dec. 31, 2009. The Vestry heard the report regarding the decision of the Executive Council and conveyed to us by Canon Judi Yeates, earlier at announcement time. The Vestry’s gratitude for the support of the Diocese will be communicated by letter to the Executive Council and Canon Judi Yeates.
